Researchers are required to register as readers at the Library and complete an Application for Access to the Archives. All readers must abide by the terms and conditions set forth in the application.

Application for Access to the Archives
The Archives contain the archival collections of both The Frick Collection and Frick Art Reference Library, consisting of visual and textual materials. The Archives serve Frick staff primarily, but outside researchers may apply for permission to view archival records by completing the "Application for Access to the Archives". If permission is granted, use of the Archives is subject to this Archives Access Policy.
Terms and Conditions Access
The Frick Collection reserves the right to restrict access to materials in the Archives for any reason. Among the factors that the Frick will consider when deciding whether to permit access are: the condition of the archival materials requested; the number of materials requested; the purpose of the access; and the sensitivity of the archival material's contents. Further, Archives Researchers may view only those materials that have been processed by the Archives staff and for which there are finding aids available. The Archivist may limit the quantities of material examined at one time. These Terms and Conditions may be revised from time to time.
Use of the Archives
Before applying for permission to view materials in the Archives, all applicants must register as Readers of the Frick Art Research Library. In becoming a Reader, an individual agrees to follow all rules stated in the Frick Art Reference Library's "Guide to Use". Archives Researchers are subject to those same usage rules. The Guide outlines researcher qualifications, registration procedures, building and records security, and library hours of operation. Archives Researchers must also adhere to the following rules when working with archival materials:
- View archival materials only in the Frick Art Reference Library Reading Room, under the supervision of an Archivist, regardless of whether the researcher is Frick staff or an outside researcher.
- Use only pencils when working with archival materials.
- Keep all archival material in the original order within folders.
- Archival materials do not circulate. If an Archives Researcher wishes to remove any material from the Archives (i.e., for exhibition loan or special viewing), he or she must apply in writing for approval from the Archivist.
- The Frick Collection may deny permission at its sole discretion.
- Follow any other guidelines laid out by the Archivist, in his or her sole discretion.
Restricted Materials
Certain material in the Archives has been designated as Restricted Materials and are closed to all Archives Researchers (both outside researchers and Frick staff), except in specific instances where permission to examine particular files or to obtain information from them has been approved by the records' creator, the office of origin, and the Archivist. Restricted materials include, but are not limited to: confidential curatorial information; financial records of The Frick Collection (other than audited financial statements) dated later than 1960; personnel records, trustee records and development files; donor restricted materials and records. Restricted materials also include those that in the Archivist's sole discretion may be damaged if handled.
Reproduction for Study Purposes
Archives Researchers may not reproduce any visual or textual materials from the Archives for study purposes without the express written permission of The Frick Collection. For information regarding applications for photocopies or other reproductions of archival materials for study purposes, please refer to the "Application for Reproduction of Archival Materials for Study Purposes".
Reproduction for Publication
Archives Researchers may not reproduce any visual or textual materials from the Archives for publication without the express written permission of The Frick Collection. This prohibition includes dissertations and research theses. For information regarding applications for permission to publish reproductions of archival materials, please refer to the "Application for Reproduction of Archival Materials for Publication".
How to Apply for Access to the Archives
To request permission to view archival materials of The Frick Collection, an applicant must complete the following steps on site:
- register as a Library Reader;
- read and agree to the Archives Access Policy as well as the Frick Art Reference Library's Guide to Use, which is provided to Library Readers;
- complete the Application for Access to the Archives set out below;
- sign and date the Application; and
- return the Application to the Archivist.
On behalf of The Frick Collection, the Archivist will review the application for access. When access is approved, an Archivist will schedule an appointment with the Archives Researcher to view materials from the Archives. An approved application for access does not guarantee that reproduction of archival materials will be permitted. Separate applications must be used to apply for permission to reproduce visual and textual materials from the Archives for study purposes or publication. Application for Access to the Archives
Application for Reproduction of Archival Materials for Study Purposes
Archives Researchers may not reproduce any visual or textual materials from the Archives for study purposes without the express written permission of The Frick Collection, as described in this Application.
To request a reproduction (i.e., a photocopy or other comparable form of copying) of archival materials for study purposes, the Archives Researcher must read and agree to the Terms and Conditions for Reproduction of Archival Materials for Study Purposes; complete, sign and date the Application Form for Reproduction of Archival Materials for Study
Purposes (printed on the reverse); and submit it to the Archivist. If The Frick Collection approves the request, the Archives Researcher will receive an approved copy of this form granting permission for reproductions of the archival materials and a listing of the fees owed. Reproductions will not be provided until the required fees are paid.
Terms and Conditions for Reproduction of Archival Materials for Study Purposes
All matters related to reproduction of archival materials, including the nature and format of reproduction, are within The Frick Collection’s sole direction and supervision. These Terms and Conditions may be revised from time to time.
The Frick Collection may refuse to approve any request for reproduction of archival materials for any reason. Among the factors that the Frick will consider when deciding whether to permit reproduction are: the condition of the archival materials whose reproduction is sought; the length and number of the materials requested; the purpose of the reproduction; the sensitivity of the material's contents; whether the materials have been published previously; and whether the materials are protected by copyright and whether the copyright is owned by or licensed to The Frick Collection and Frick Art Reference Library.
Reproductions of materials from the Archives are provided for the purpose of private research and study only. Archives Researchers may not publish an image of an item from the Archives or quote any material found in the Archives without the express written permission of The Frick Collection. This prohibition includes dissertations and research theses. Even if The Frick Collection owns the copyright in any item from the Archives, it does not by reason of the delivery of a reproduction of that item assign or license any copyright rights in the item or the reproduction.
The Frick Art Reference Library will determine the fee for reproduction according to its schedule of fees, which may be revised from time to time. Payment in advance is required before the Frick will provide approved reproductions.
Application for Reproduction of Archival Materials for Publication
Archives Researchers may not reproduce any visual or textual materials from the Archives for publication without the express written permission of The Frick Collection, as described in this Application. Dissertations and research theses are considered publications.
To request copies or other reproductions of archival materials for publication, the Archives Researcher must read and agree to the below Terms and Conditions for Reproduction of Archival Materials for Publication; complete, sign and date the "Application Form for Reproduction of Archival Materials for Publication"; and submit it to the Archivist. If The Frick Collection approves the request, the Archives Researcher will receive an approved copy of this form granting permission for reproduction of archival materials for publication and a listing of the fees owed. Reproductions will not be provided until the required fees are paid.

Copyright
Where the archival materials whose reproduction is sought are protected by copyright anywhere in the world, The Frick Collection will not consent to reproduction for publication unless it is satisfied with the information provided by the applicant regarding the consent of any copyright owners to reproduction for publication. If the Frick owns the copyright in any item from the Archives, it does not by reason of the delivery of a reproduction of that item assign or license any copyright rights in the item or the reproduction beyond the right to publish the reproduction in the particular publication authorized. If the Frick does not own the copyright in an item from the Archives, it is the responsibility of the applicant to ascertain copyright ownership, to obtain consent of any copyright owners to reproduction for publication, and to comply with the pertinent copyright restrictions. The Frick will provide applicants with whatever copyright management information it has and any other restrictions that may apply to the archival materials being requested for reproduction.
Permission to Reproduce
Permission to reproduce an image of archival materials for publication is granted for non-exclusive, one-time use of a single reproduction in a single language unless otherwise indicated. Other than the reproduction in a publication authorized by the Frick, applicants may not duplicate in any way a photograph supplied by the Frick. Any subsequent use or re-use must be preceded by a new application and is not covered by the original permission to reproduce for publication or the original fees. Subsequent use includes new editions, revisions, translations, or additional use of any kind, as well as images used as a symbol or logo or for the promotion of a project. Permission to reproduce an item depicting a visual image is granted so long as the image is reproduced in full. Requests to crop, bleed, tone, silhouette, superimpose type matter, or alter an image in any way must be included in the application with the exact layout of proposed alteration. If approved, the word "detail" must appear in the caption with the complete credit line. The area within the white border of a photograph, including inscriptions, may not be cut down or marked out. No reproduction may be printed on colored stock, and black-and-white photographs may not be printed with colored ink.
One complimentary copy of the publication in which the reproduction appears must be forwarded to the Archives Department of The Frick Collection.
Notices
Any and all references to archival materials shall cite the archival series and folder title (which The Frick Collection will provide if approval is granted), and bear the following credit line: “Courtesy of The Frick Collection/Frick Art Reference Library Archives”
If the item whose reproduction the applicant requests is protected by copyright, the publication must also include a copyright notice, either accompanying the reproduction or on the page showing other copyright notices. If the Frick controls the copyright, it will provide the appropriate copyright notice.
Fees
The Frick Collection will determine the fee for reproduction for publication according to the schedule of fees, which may be revised from time to time. The fees will follow the schedule of fees charged by The Frick Collection for publication of images in its Collection. Payment in advance is required before the Frick will provide an approved reproduction for publication.
Application for Reproduction of Archival Materials for Exhibition
Archives Researchers may not reproduce any visual or textual materials from the Archives for exhibition without the express written permission of The Frick Collection, as described in this Application.
To request copies or other reproductions of archival materials for exhibition, the Archives Researcher must read and agree to the below Terms and Conditions for Reproduction of Archival Materials for Exhibition; complete, sign and date the Application Form for Reproduction of Archival Materials for Exhibition; and submit it to the Archivist. If The Frick Collection approves the request, the Archives Researcher will receive an approved copy of this form granting permission for reproduction of archival materials for exhibition and a listing of the fees owed. Reproductions will not be provided until the required fees are paid.
